Examination rules

Semester/Session Examinations
For all the programs leading to academic awards of Ndejje University, there shall be University examinations as a mode of assessment. These examinations shall normally be conducted at the end of every semester or session.

Continuous Assessment
This consists of tests, assignments, practical work, etc that are conducted throughout the programs and contributes 40% of the total marks for the course. These must be completed and their mark available before a student is allowed to sit for the semester examinations.

Pass Mark
The pass mark for Ndejje University Undergraduate examinations is 50%, and 60% for the Postgraduate Programes.

Absconding from Examinations
A candidate who absconds from the University examinations without satisfactory reasons, (preferably written to the Academic Registrar through the Faculty Dean) may be discontinued from the studies of the University.

Program Composition
Each program of study is composed of courses. The smallest course is one Credit Unit per semester and the largest course 1S five Credit Units per semester. (A credit unit is one contact hour per week per semester: 1 credit unit is 15 hours).

Semester Course Load
The minimum number of Credit Units per semester is fifteen (15)
The maximum number of Credit Units per semester is thirty (30)

Assessment and Grading
Each course is assessed in two parts:
Course work (i.e. progressive/continuous assessment) contributes 40% of the total mark.
Examinations contribute a maximum of 60% of the total marks.
Each course is graded out of a maximum of one hundred (100) marks and assigned appropriate letter grades and grade points as indicated:

A/I grades below C- carty no credit. One must obtain a Grade Point Average (GPA) of 2.0 in order to continue studies in good standing.

Promotion
A candidate must pass all the examination papers in the year of study before s/he is allowed to proceed to the nex1 one, except, when the results of a specially arranged examination are pending. In such a case, the Academic Registrar (on the recommendation of the Faculty Dean) may allow him/her to attend the lectures in the succeeding year.

Incompletes
A student who does not complete the prescribed semester's work, and has valid written reasons for not doing so, will be given an "incomplete" grade. However, the incomplete work must be completed before the commencement of the following semester if one is to be assigned a regular grade.

Retakes
A candidate who fails the examinations having failed not more than two courses shall be permitted to retake examination in the failed courses when the courses are offered and examined. The candidate will retake the courses and re-write the course work.
The candidate, who failed the examination in more than three courses, may be permitted to retake examinations of the failed courses, provided that He/She does not proceed to the courses of the following semester. The candidate will retake the courses and re-write the course work.
To pass a re-take examination, a candidate must obtain at least 50% or 2.0 GPA of the marks in each subject. Re-take courses will be assessed out of 100%.

Graduation Requirements
To qualify for the award of a degree, diploma or certificate of Ndejje University, a student must:
Be registered for a prescribed number of semesters for that particular program;
Successfully complete the prescribed number of credit units for that particular program.

Registration
Students are expected to register with the Registrar's office at the beginning of every semester after showing proof of fees payment from the University Bursar. To qualify for registration, a student must pay at least 50% of the required fees for a semester.

Probation
This is a warning stage for a student; it will occur if:
A student fails the core or compulsory courses;
A student obtains the Cumulative GPA of less than two (2.0) at the end of any semester. When the GPA of a student goes up in the following semester after a student has re-sat and passed the failed courses, then the probation shall be removed.

Repetition in the Courses
A candidate may be allowed to repeat the course(s) failed in a semester at the discretion of a Faculty Board in consultation with the Registrar. All the requests and permissions shall be in writing. A candidate/student, who is not a repeater already, may be permitted to repeat the studies of a semester only if:
These are special social and/or medical circumstances, submitted in writing through the Faculty Dean to the Academic Registrar, normally prior to the meeting of the Board of Examiners, such as to convince the Faculty Board that the candidate is likely to do well if the requested concession is granted; OR
The candidate fails in more than two courses of a semester.

Discontinuation
A student shall be discontinued from a program if one of the following conditions exists:
Receiving two probations on the same core/compulsory courses;
Receiving two consecutive probations based on Cumulative Grade Point.
Failing the University examination(s) after the third attempt.

Class Attendance
A student is expected to attend all class sessions. A student who misses more than 25% of the class sessions may not be allowed to sit for examination(s).

Supplementary/Special Examinations
There are no Supplementary Examinations in the semester system. When a student has to re-sit a course examination, He/She has to wait and re-sit, without penalty, when it's offered again. There are re-examination fee per paper, determined by the Senate, to be paid.

Change of Program or Subjects
A student may apply in writing to the Registrar through the Faculty Dean or departmental head for change of program or subjects within 2 weeks of reporting after admission.

Transcripts
All grades for coursework, of whatever nature, must be recorded by the department and averaged into the GPA. If a student fails a course, s/he must retake the course before the script is processed. The new grade will be averaged into the GPA in replace the old one. A failed course can only be retaken twice.

Late Course Work
No student shall be permitted into any examination unless s/he has satisfactorily attended the course and done the course work. All course work must be submitted to the respective lecturers two (2) weeks before the commencement of the semester examinations. Late course work can be made only for a good, sound reason (e.g. serious illness, accident, etc); in no case will supplementary/special examinations be arranged.
